What you need to know if your event has off campus participants…

Whether you're planning a small meeting for 20 people or a high-level professional conference for 200, the Conference and Event Services Office is here to help. We assist in the coordination of all aspects of event planning including room reservations, set ups, technology, parking, and lodging in the residence halls for summer events.

The ABC's of planning an event!
  • Anticipate your set up needs. What space(s) are you interested in or think you will need to reserve?
  • Contact the Conference and Event Services Office. Submit a reservation request to begin the planning process.
What happens next is as easy as 1-2-3!
  • 1: After the Conference and Event Services Office receives your reservation request, you are sent a confirmation of your space reservations with an initial cost estimate.
  • 2: If you reserve the Riverview Ballroom and/or the Falcon's Nest, the reservation will remain in a tentative status until you meet with the Conference and Event Services Coordinator to discuss the set up details and technology requirements. This information must be confirmed at least 30 days prior to your event start date.
  • 3: You are sent a Memo of Understanding (MOU) detailing the specifics of your reservation. Sign and return the MOU at least 14 days prior to your event start date. Review the MOU for any last minute changes at least 7 days prior to your event start date.

If the Riverview Ballroom and/or the Falcon's Nest details are not received 30 days prior to the event, a $5.00 per day fee will be assessed until the details have been received. If the event is cancelled within 2 weeks of the event date, the $5.00 per day fee will still be assessed. Groups will be notified of the fee assessment via e-mail.

Changes made to your reservation within 3 days of the event start date may incur a $25.00 late add/change fee.

If you are interested in catering, you will work directly with Sodexo for all your catering needs. Please contact the Catering Manager at catering@uwrf.edu(email) or (715)425-3274 to coordinate arrangements.
